PRIVACY & DATA PROTECTION POLICY

How I collect, use and protect your personal information - when you use my website, contact me or become a client.

1. Who is responsible for your information 

June Keyworth, trading as June's Life Admin Rescue, is the data controller for personal information collected and used in connection with my website, enquiries and services. I am responsible for deciding why and how that information is used.

2. When you use my website or contact me 

When you visit my website or contact me through the website contact form, by email, telephone, WhatsApp or another contact method, I may receive information you choose to provide, such as your name, email address, telephone number, location and details about the help you are looking for. I use this information to respond to your enquiry, discuss the services you may require and, where appropriate, take steps at your request before entering into an agreement with you. My website is provided using a third-party website service. Technical information may also be processed where necessary to operate, secure and maintain the website.
 

3. Information I may collect when providing services 

Depending on the help you ask me to provide, I may collect information such as your name, address, telephone number, email address, date of birth, correspondence, account or reference numbers, appointment information, financial or household information, copies of documents, and details relevant to forms or applications. I only ask for information that is reasonably necessary for the work we have agreed.


4. Sensitive or special category information 

Some work, for example help with PIP, benefits, disability-related applications or other personal paperwork, may involve sensitive information, including information about your health or disability. Where I need to use special category information, I will identify and document the appropriate legal condition before processing it. Where explicit consent is the appropriate condition, I will ask for that consent clearly and separately. I will collect and retain only the information reasonably needed for the agreed task.

5. Why I use your information 

I may use your information to: respond to enquiries; take steps at your request before you become a client; provide the service you have asked for; communicate with you; complete agreed administrative tasks; prepare forms, letters or correspondence; research options on your behalf; contact organisations where you have authorised me to do so; arrange appointments; keep appropriate business and payment records; comply with legal obligations; and establish, exercise or defend legal rights where necessary.

6. My lawful basis for using information 

The lawful basis will depend on what I am doing. In most cases, ordinary personal information needed to respond to a service enquiry, take steps at your request or provide an agreed service will be processed because it is necessary to take steps at your request before entering into an agreement or to perform our agreement. I may also process information where necessary to meet a legal obligation or, where appropriate, for a legitimate interest that does not override your rights. 

Special category information requires an additional condition under data protection law. I will document the applicable condition for the particular processing and use explicit consent where that is the appropriate condition.

7. Sharing your information 

I do not sell your personal information. I will only share information where it is necessary for the work you have asked me to carry out, where you have authorised me to do so, where a trusted service provider processes information for me under appropriate safeguards, or where I am required or permitted by law. Organisations I may contact on your instructions could include councils, government departments, utility providers, insurers, service providers or other organisations relevant to the agreed task. Those organisations may have their own identity and authority requirements.

8. Authority to act 

If you ask me to speak to an organisation on your behalf, I may require written or verbal authority from you and the organisation may require its own form of authority. I will not pretend to be you or use your identity to bypass an organisation's security procedures.

9. Keeping information secure 

I take reasonable organisational and technical steps to protect personal information against loss, misuse, unauthorised access or disclosure. Access is limited to information needed for the agreed work. Where possible, you should enter passwords, PINs, security answers and one-time authentication codes yourself. I will not ask you to provide online banking PINs or full banking security credentials.

10. Cookies and similar technologies 

My website may use cookies or similar technologies that are necessary for the website to function, and it may offer optional technologies depending on the website settings and services in use. Information about the cookies or similar technologies actually used, what they do and any choices available to you should be provided through the website's cookie notice or settings. Where consent is required for non-essential cookies or similar technologies, they should not be used for that purpose until you have made the relevant choice. You can change or withdraw your choices using the website's available cookie controls.

11. How long I keep information 

I will not keep personal information for longer than I reasonably need it. Enquiry information that does not lead to work and working documents or copies supplied solely to complete a task will be reviewed and securely deleted when they are no longer required. Some records may need to be kept longer for tax, accounting, contractual, insurance or legal purposes. I will keep a written retention schedule and review retained information periodically rather than keeping client files indefinitely.

12. Your data protection rights 

Depending on the circumstances, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to processing, or transfer of information. Where processing relies on consent, you can withdraw that consent at any time; this does not make earlier lawful processing unlawful. Not every right applies in every circumstance. I will respond to valid requests in accordance with data protection law.

13. Concerns or complaints 

If you have a concern about how I have used your information, please contact me first so I can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

14. Data breaches 

If personal information is accidentally lost, disclosed, accessed or altered in a way that may constitute a personal data breach, I will assess the incident promptly, take reasonable steps to limit harm and make any notification to the ICO or affected individual that is required by law.

15. Changes to this policy 

I may update this policy when my website, services, working practices or legal obligations change. The current version will show its effective date. Material changes affecting existing clients will be brought to their attention where appropriate.
